Purpose of processing
Data are processed solely to organise the company lunch: managing registrations, seating, communications (access code, confirmation, reminders) and participants' dietary needs.
Data processed
Invitee's first name, surname and company e-mail; attendance choice; name of any guest; optionally food allergies and dietary preferences of the invitee and the guest. Allergies are health data and dietary preferences (e.g. for religious or ethical reasons) may reveal personal beliefs: these are "special categories of data" (Art. 9 GDPR).
Legal basis
For identification data and attendance: organisation of the company event. For allergies and dietary preferences: your explicit consent (Art. 9(2)(a) GDPR), which is optional: if you do not give it you can still attend, without providing this information. You may withdraw it at any time by deleting the text from the form and saving your answer again.
Recipients
Staff in charge of organising the event and, limited to dietary needs, the restaurant or caterer preparing the lunch. Data are not disclosed or transferred outside the European Economic Area.
Retention
Allergies, dietary preferences and the guest's name are deleted within 30 days of the event date. Technical access logs are kept for a limited period.
Your rights
You may request access, rectification or erasure of your data, restriction of or objection to processing, and withdraw your consent, by writing to the privacy contact above. You also have the right to lodge a complaint with the data protection authority.
Notice for guests
If you attend as the guest of an invitee, your name and any food allergies or dietary preferences were provided by the invitee with your consent, solely for the purposes and in the manner described above. You may exercise your rights through the privacy contact above.
